UPI Payment Collection on WhatsApp for Indian Clinics and Coaching Institutes
How does UPI payment collection work on WhatsApp?
A reminder carries a UPI payment link with the amount and a note already filled in. The parent or patient taps the link, their UPI app opens with the amount ready, and the payment goes directly to the business owner's own UPI ID. The owner then confirms the payment in the system.
What is the problem this solves?
Fee collection and deposits are where many clinics and coaching institutes lose time. Payments arrive late, in different forms, and often after several rounds of reminders. Each chase takes staff time and a phone call, and the record of who has paid is easy to get wrong.
A payment link removes the friction at the moment the parent or patient is ready to pay. The reminder is already in their WhatsApp, and paying takes a few seconds in the UPI app they already use.
How does the money move?
The money moves directly from the payer's bank account to the owner's own UPI ID. NeolinQ does not receive, hold, settle or route the money. The payment link simply names the owner's UPI ID as the recipient and attaches the amount and a reference.
Because the money goes to the owner's own account, the owner sees each payment in their own bank or UPI app, and there is no settlement delay through a third party.
Who is it for?
Dental and physiotherapy clinics use payment links for deposits or token payments at booking, which helps reduce missed appointments. Coaching institutes use them for monthly fees, so a parent can pay from the same message that reminds them the fee is due.
How do you set it up?
There are three steps. First, enter your UPI ID in the settings. Second, send yourself a ₹1 test link and open it on your own phone, to check that the name shown in your UPI app is your business. Third, once the test is confirmed, the payment links are ready for your reminders.
Payment links are being rolled out. When they are available on your account, the setup steps above apply, and reminders can carry a link from then on.
What does it cost?
NeolinQ's Starter plan is ₹1,999 per month with 2,000 messages included (₹0.25 per message beyond that). There is no per-transaction fee charged by NeolinQ, because the money does not pass through NeolinQ. Your UPI app and bank may have their own terms, which apply as they normally would.
How does the owner confirm a payment?
When a payment is received, the owner replies to the evening digest or types a short command in WhatsApp, and the record is updated. The parent or patient then receives a confirmation. Unconfirmed links are listed in the evening digest, so nothing is left open without being noticed.
Frequently asked questions
Does the payer need a special app? No. Any UPI app works, such as the common payment apps on Android and iPhone.
What if I change my UPI ID? Changing the UPI ID cancels the payment links that were sent with the old one, and you verify the new ID with another ₹1 test.
Is this the same as Razorpay or a payment gateway? No. NeolinQ's own subscription is billed separately. Parent and patient payments use the owner's UPI ID directly, without a payment gateway in between.
What should an owner check before the first payment link is sent?
Before the first link goes out, confirm that the UPI ID is correct, that the name shown in your UPI app is your business, and that the amount in the reminder matches your fee record. The ₹1 test is designed for exactly this check, and it takes a few minutes. Skipping it is the most common cause of confusion for a first-time owner.
How should a clinic use payment links for deposits?
A clinic can ask for a token payment when a patient books, which helps confirm the appointment and reduces missed visits. Set a clear deposit amount, explain what it covers in the booking confirmation, and make sure the policy for refunds or rescheduling is written down before the first payment arrives.
How should a coaching institute use payment links for monthly fees?
A coaching institute can attach a payment link to the monthly fee reminder, so a parent can pay from the same message. Keep the amount and the due date in the reminder, and record the payment when it arrives. A parent who pays through a link should receive a clear confirmation, which closes the loop without a phone call.
What if a payment is not received?
Check the UPI app and the bank statement first, because a payment can take a little time to appear. If it has not arrived, send a polite reminder through the usual channel and ask whether the payment was made. Do not mark a payment as confirmed until the money has been received in your own account.
What happens when the owner changes the UPI ID?
Links that were sent with the old UPI ID are cancelled, so a parent is not sent to a payment address you no longer use. Verify the new UPI ID with another ₹1 test before new links are sent. Explain the change to parents only if it affects a payment they were already planning to make.
Why does the money going to the owner's own account matter?
It keeps the relationship simple. The owner receives the money in their own account, with no settlement delay and no third party holding funds in between. The owner's bank and UPI app show each payment, so the owner can reconcile the record directly.
