WhatsApp Automation for Dental Clinics in Mumbai

WhatsApp Automation for Dental Clinics in Mumbai

Dental clinics in Mumbai serve patients who commute long distances, so a missed appointment is often a missed train as much as a missed reminder. Clinic owners tell us the afternoon schedule is the hardest part of the day to keep full.

What do dental clinics in Mumbai need from WhatsApp automation?

A dental clinic in Mumbai needs to confirm every appointment, remind patients before the visit, and bring patients back for routine checkups. WhatsApp is where patients already read messages, so it is the most direct channel for those three jobs.

How does NeolinQ solve it?

NeolinQ sends booking confirmations and reminders through WhatsApp for dental and physiotherapy clinics. It sends post-visit care messages after a procedure and six-month recall messages for patients who need a checkup. Patients can reply in the same conversation, and confirmation replies appear in the clinic's inbox.

Self-booking is also available. A patient who messages the clinic can book a free slot in a conversation, without waiting for the phone line to open.

What's included?

Booking confirmations, appointment reminders before the visit, post-visit care messages, six-month recall messages, and self-booking through WhatsApp. Patients can be imported from an Excel or CSV file, so the clinic starts with its existing list rather than re-entering it.

Payment links are being rolled out so that a clinic can ask for a token payment at booking. The money is designed to go directly to the clinic's own UPI ID; NeolinQ does not hold funds. Until the feature is available on your account, confirmations use the standard template.

Pricing

Starter is ₹1,999 per month with 2,000 messages included (₹0.25 per message beyond that). There is no free trial on the Starter plan. The Growth plan launches in December 2026. Setup takes about 15 minutes.

How should a Mumbai clinic plan reminders around travel?

Many patients in Mumbai travel a long way to a clinic, so a reminder sent too early is easy to forget and one sent too late leaves no time to change plans. A day-before reminder combined with a short confirmation request suits most patients. Clinics with patients from several areas often find that a clear time and a clear address line prevent the most common confusion.

What should a clinic do on a day of heavy rain or disruption?

Disruption affects attendance across the city. A short message to patients with appointments that day, offering a rescheduling option, is more useful than a cancellation notice. The clinic should keep a record of who was contacted so the schedule can be rebuilt quickly once conditions improve.

Is self-booking useful for working professionals?

Yes. Many patients in Mumbai prefer to book outside office hours, and a conversation in WhatsApp fits that routine. A patient who can see a free slot and book it in a few messages is less likely to postpone a visit until it becomes urgent.

How should a Mumbai clinic measure whether the messages are working?

Track three numbers each month: how many appointments were confirmed before the visit, how many visits were missed, and how many patients returned for a recall checkup on time. Compare the figures month by month rather than judging a single week. A clinic in Mumbai with a steady trend in these three numbers can see whether the change is working, and can make a small adjustment to timing or wording if one number moves the wrong way. A clinic that agrees these measures with its team at the start, and reviews them at the same time each month, will know quickly whether the messages are doing their job.
